1. File Analysis (The Side Panel Chat)
Instead of opening a massive document and manually reading through it, you can chat directly with your file to find specific metrics, data points, or hidden insights.
-
How to use it:
-
Go to Google Drive and double-click to open any document, PDF, or spreadsheet.
-
Look at the top-right corner of the toolbar and click the Gemini star icon to open the side panel chat box.
-
Type a specific question about the open file.
-
Examples:
-
"What were our exact total expenses listed on page 14?"
-
"Are there any legal red flags or missing signatures in this contract?"
-
"Extract all email addresses listed in this document into a bulleted list."
2. Deep File Overviews
When someone shares a large folder or a dense 50-page presentation, you can use Gemini to get an instant structural summary before you dive in.
-
How to use it:
-
In your main Google Drive dashboard, single-click on a file (without opening it) to highlight it.
-
Click the Gemini icon in the upper right corner of the main Drive interface.
-
Select the pre-built "Summarize" chip that appears, or ask Gemini directly in the side panel: "Give me a deep structural overview of this folder/file."
-
Gemini will outline the key themes, main sections, and core takeaways.
3. Listen to Document Summary
This feature generates a spoken audio summary of documents and PDFs.
-
How to use it:
-
Open your document inside Drive.
-
Click Gemini in the menu bar.
-
Click Listen to document Summary.
-
Wait a few minutes while Gemini processes the text. Once ready, you can hit the play button to listen to the summary.
4. File Cross-Referencing
This allows you to pull separate datasets together—like comparing a proposal document with an expense spreadsheet—to find gaps or create completely new combined summaries.
-
How to use it:
-
Open your Google Drive dashboard.
-
Open the Gemini side panel on the right side of the main file library page.
-
Use the @ symbol in the chat box to search and tag multiple files from your Drive account (e.g., type @Q1_Report and select it, then type @Q2_Report and select it).
-
Type your prompt alongside the tagged files.
-
Examples:
-
"Compare [@Q1_Budget] and [@Q2_Budget] and list the three categories where we overspent the most."
-
"Take the core pitch points from [@Project_Proposal] and write a script outline matching the timeline inside [@Project_Schedule]."
