Create a Budget Amendment

This article will walk you through the process of moving funds from one area to another within the annual operating fund at the budget level.

  • Search for Create Budget Amendment.

  • Select the Plan Structure as Abilene, Dallas, or System as appropriate.
  • For Company, select Abilene Christian University.
  • For Plan Name select the appropriate fiscal year, then click OK.

  • The Amendment Date will automatically fill the current date; you can change it to a later date if desired.
  • In the description field, state why you are moving funds.
  • Choose the Amendment Type: Permanent or Temporary (most common).
  • Ensure that Balanced Amendment remains checked.

  • Under the Budget Amendement Lines, you can add and remove lines using the plus and minus buttons.
  • Enter the Period, Fund, Cost Center (previously Organization), Spend Category (expense dollars, previously Account) or Revenue Category (revenue dollars), and Campus. You can browse the options or search. Function and Lifetime Value should automatically populate.

Note: The order of these columns can be customized to make things easier for you. See this article for details: Customizing Columns.

  • Set Ledger Account/Summary according to the Parent of the Spend Category or Revenue Category, which you can see by clicking the three dots on the appropriate category.

  • Enter how much money you're moving using either amount (most common) or percent. Use a positive amount to add money and a negative amount to take money out.
  • Enter the reason for moving the funds in the Memo fields. You can save the amendment for later or submit it.

  • Finally, you can attach any files that may help explain the need for the amendment.
