Hire a Student Employee

This article will outline the process for hiring a student employee. This assumes that a Job Requisition for the position already exists.

  • From the Workday home page, go to the Job Requisitions Workspace by searching for "Job Requisitions" or selecting Job Requisitions on the left side of the page.

  • Click the Job Requisition for which you wish to hire a student and click the application of the candidate you want to hire.

  • Click Move Forward -> Schedule Interview.

  • Click Schedule to schedule the interview in Workday or click Skip on the Schedule task pop-up to schedule the interview manually.

  • If scheduling in Workday, set the date, interview duration, and add all attendees. Attendees will receive a task to select a time based on availability on your ACU Google calendar.

  • If scheduling manually, click OK on the Skip This Task pop-up.

  • Once the interview has been conducted and you are ready to offer the position, go back into the application and click Move Forward -> Offer.

  • You will be given an Offer task. You can find it in your tasks or click the Open button on the "You have submitted/Up Next" pop-up.

  • On the "Initiate Offer for" page, click anywhere in the details panel to edit it.
  • Set the Hire Date, Hire Reason, and Location, then click the check mark or anywhere outside the panel to save the changes. 
  • The rest of the information should be pulled in from the Job Position. Review each item the ensure it is correct. You can edit them by clicking anywhere in their panels. When they are all correct, click Next.

  • Review the details in the Compensation section. Edit any if necessary using the same process as before. Then click Next and click Next again in the One-Time Payment section.
  • Review all the information and click Submit.

  • You will be given a Generate Offer Documents task that you can find in your tasks.
  • In the Generate Document task, review the details of the offer letter and make any necessary changes. Then click Submit.

  • Click Submit to send the offer letter.
  • The candidate will be given a Workday task to accept the offer.
  • When the candidate accepts the offer, the candidate and HR will have tasks for on-boarding.
