Google My Drive - Individual Storage
Google Drive is a cloud storage and file synchronization service offered by Google.
Features:
- File storage: Offers personal cloud storage space for storing files, including documents, photos, and videos.
- Integration: Seamlessly integrates with other Google services like Google Docs, Sheets, and Slides.
- Collaboration: Supports real-time collaboration on documents, allowing multiple users to edit files simultaneously.
- Sharing options: Allows easy sharing of files with individuals or groups, with different permission levels.
- Syncing: Automatically syncs files across devices for easy access and offline availability.
Storage Quota:
- Google My Drive has a quota of 100 GB for faculty and staff.
- If additional Google My Drive storage is needed, a request for an exemption of up to 200 GB can be made.
Recommended Use Case:
- My Drive is suitable for data that is relevant to a user’s role at the university, and does not need to be owned departmentally. An example of ideal data to live in a user’s My Drive, would be a work related Google Sheet that would not impact the department as a whole if it were to be lost.
OneDrive - Individual Storage
OneDrive is a cloud-based file hosting and synchronization service offered by Microsoft.
Features:
- File storage: Provides personal cloud storage for individuals to store, access, and share files.
- Collaboration: Enables real-time collaboration on documents, allowing multiple users to edit files simultaneously
- Version control: Keeps track of file versions, allowing users to revert to previous versions if needed.
- Integration: Seamlessly integrates with other Microsoft applications like Office 365, Outlook, and Teams.
- Mobile access: Provides mobile apps for convenient access to files on the go.
Storage Quota:
- OneDrive has a storage quota of 1 TB per user.
Recommended Use Case:
- OneDrive is suitable for data that is relevant to a user’s role at the university, and does not need to be owned departmentally.
Google Shared Drives - Department or Group Storage
Google Shared Drives is a collaborative cloud storage service offered by Google, designed for teams.
Features:
- Team-based storage: Provides shared storage space for teams or departments to collaborate and store files.
- Centralized ownership: Files stored in Shared Drives are not tied to individual user accounts, ensuring continuity even if team members change.
- Permissions management: Allows administrators to set granular access permissions at the team or folder level.
- Version control: Tracks file versions and allows users to revert to previous versions if needed.
- Integration: Seamlessly integrates with other Google Workspace applications.
Storage Quota:
- There is a 200 GB quota set for the total storage of a department’s Shared Drives.
- There are use cases for Google Shared Drives that may require more than the 200 GB quota placed on a department's Shared Drives. If your department would like to purchase additional Google Shared Drive storage, please submit a request here.
Recommended Use Case:
- Google Shared Drives are ideal for housing data that needs to be retained at the departmental level, and for sharing and collaborating on data between multiple departments.
SharePoint - Department or Group Storage
SharePoint is a web-based collaborative platform developed by Microsoft.
Features:
- Document management: Offers a centralized document repository with advanced search and metadata capabilities.
- Team sites: Allows teams to create dedicated sites for collaboration, document sharing, and communication.
- Workflow automation: Supports automation of business processes using customizable workflows.
- Intranet portal: Enables the creation of company intranet sites for internal communication and information sharing.
- Security and permissions: Provides granular access controls to ensure data security.
Storage Quota:
- If your storage needs are greater than 1 TB, additional storage in SharePoint is available upon request.
Recommended Use Case:
- SharePoint is ideal for data that requires collaboration, document management, and does NOT need to be shared outside of the department. As SharePoint has limited adoption on campus, we recommend that interdepartmental sharing be conducted using Google Shared Drives.
