What is Voice Mail?

Voice Mail is a messaging system that allows you to send and receive messages from any touch-tone phone. Each phone has a voice mailbox from which the room occupants will be able to access their messages. Friends, family, and co-workers who call you are automatically routed to voice mail when you do not answer your phone after four rings, or when your phone is busy.

Your voice mailbox contains your messages, your personalized greeting, and your passcode. You play your messages at any touch-tone phone on campus or off campus by calling a system access number to reach your mailbox. You also record your greeting and create your passcode through your mailbox. Roommates will share the voice mailbox and passcode. If you keep your passocde confidential, your entire interaction with the voice messaging system is confidential; no one besides your roommate has access to your mailbox.

At each step, prompts tell you which key to press or what your options are.

Getting Started

When you use voice mail for the first time, you will hear a tutorial that helps you set up a passcode and a personalized greeting.

Accessing Your Mailbox

If you wish to record your own greeting or if you will be calling in for messages from other phones, you will need to set up a personalized mailbox.

Logging on

  1. Dial 2801
  2. Dial your voicemail box number (this is usually your extension)
  3. Dial *
  4. Dial your pass code

Recording a Greeting

You can record a personalized greeting, including information such as your name and number.

  1. Dial 2801.
  2. Enter your pass code.
  3. Press the 'U' key for User Options.
  4. Press the 'G' key for Greetings.
  5. Press the 'R' key to record your greeting.
  6. Press the 'R' key to review your greeting, 'D' to discard your greeting, or 'X' to exit and save your greeting.
  7. Press the 'X' key again to exit to the main menu.


Recording Your Name

Your recorded name is called a personal verification. This plays for your callers to identify your mailbox.

  1. Dial 2801.
  2. Enter your passcode.
  3. Press the 'U' key for User Options.
  4. Press the 'N' key for Name.
  5. Press the 'R' key to record your name.
  6. Press the 'R' key to review your name, 'D' to discard your name, or 'X' to exit and save your name.
  7. Press the 'X' key again to exit to the main menu.
     

Changing Your Passcode

You may change your passcode as often as you wish. Remember it must be between 4 and 8 digits.

  1. Dial 2801.
  2. Enter your passcode.
  3. Press the 'U' key for User Options.
  4. Press the 'P' key for passcode.
  5. Enter 4 to 8 digits for your passcode.
  6. The automated teller will repeat your new passcode.
  7. Press the 'X' key to exit the system.
     

Logging Off

  1. Press the 'X' key.
     

Playing Messages From Your Office/Room

You will hear a voice stating, "you have voice mail" when you pick up the handset, indicating that you have a message. When you play your messages, you will hear new messages first, followed by stored messages if you choose to listen to them.

  1. Dial 2801.
  2. Enter your passcode.
  3. Press the 'P' key to play the first message.
  4. After or during each message that plays, you can replay, keep, delete, or answer:
  • Press the 'P' key to replay the message. . Press the 'K' key to save the message.
  • Press the ,*, key to rewind the message; the '#' will fast forward the message.
  • Press the 'D' key to discard the message. . Press the' A' key to answer the message.
  • Press the 'G' key to give the message to another user.
  • Press the 'X' key to exit the system.
     

Playing Messages From Another Location

You may need to at some point to check your message from another phone on campus.

  1. Dial 2801.
  2. Press the *, key and enter your four digit extension.
  3. Enter your passcode.
     

Playing Messages From Off Campus

  1. Dial your phone number 674-xxxx
  2. When you hear your message play, press the *, and the system will say, "Hello, [Your Name]. Please enter your passcode."
     

Answering a Message

After you have listened to the message and have decided to answer it, press the 'A' key to answer.

  1. When you are finished, press the '#' again to end your recording.
  2. Press the 'X' key to send a copy of your comments and message.
  3. Press the 3 'X' key to exit the system.
     

Sending a Message To More than One User

You can send the same message to more than one user.

  1. Dial 2801. Enter your passcode.
  2. Press the 'M' key to make a new message.
  3. Enter the extensions of the persons who will be receiving this message.
  4. After all extensions have been entered, press the '#' key to record your message. When you are finished, press the '#' again to end the recording.
  5. Press the 'X' key to send your message and then again to exit the system.
